A guided tour of the Fintra AI Finance OS: how the accounting, budgeting, payroll, HR, and compliance modules connect under one login, and who sees what.

Fintra is an AI Finance Operating System for small and mid-sized businesses. Instead of stitching together an accounting app, a payroll provider, a planning spreadsheet, an HR system, and a compliance tracker, you sign in once and move between modules with deep links - the same company, the same chart of accounts, the same people records everywhere.

This tour walks the whole surface area module by module, explains how data flows between them, and shows which roles see which screens. The module map

Fintra is organized into five product areas plus a platform layer. Each area is a set of screens that share the same underlying company record, so an employee added in HR is the same employee paid in Payroll and budgeted in Planning.

Fintra product areas at a glance

The connective tissue is deliberate: sales commissions computed in Finance post journal entries to Accounting and push expense lines to Budgeting; approved pay runs export a balanced journal entry to the general ledger; HR onboarding feeds Payroll through a sync bridge. You configure a thing once and every module that needs it reads the same record.

How data flows between modules

Understanding three flows will orient you faster than any menu screenshot: money in, money out, and people.

The three core flows

    Money in (leads → invoice → cash)

    A lead moves across the pipeline kanban (new → contacted → qualified → proposal → negotiation → won). Winning a deal can trigger commission accrual for the rep, an invoice to the customer, and - once paid - a reconciled bank line. Revenue lands in reports and in budget vs. actuals automatically.

    Money out (bill → payment → ledger)

    Vendor bills are entered or captured, approved, and paid. Payments hit the bank feed, reconciliation matches them, and the ledger stays tied to the bank statement. Payroll is the biggest recurring outflow - an approved run builds tax and net-pay liabilities and exports a journal entry.

    People (hire → onboard → pay → plan)

    HR creates the employee and runs onboarding; the payroll sync bridge carries the record into Payroll; Budgeting picks up the fully loaded cost in workforce lines. Employees see their own slice - paystubs, YTD, W-4, timesheets - through the portal.

Roles: who sees what

Access is role-scoped per module rather than all-or-nothing. The patterns below are the defaults; Payroll adds its own stricter RBAC with segregation of duties (see Payroll Approvals & the Auto-Payroll Agent).

Typical role-to-module access
  • The module switcher takes you between product areas; within a module, the left navigation lists its screens (e.g., Invoices, Bills, Banking, Reports inside Finance).
  • Deep links work everywhere - a URL to a specific invoice, pay run, or budget scenario opens directly after sign-in, which makes them safe to paste into tickets and chat.
  • The reports center in Finance is the read-only heart of the platform: P&L, balance sheet, AR/AP aging, and saved custom reports, exportable to CSV or Excel.
  • AI features are metered through the platform AI gateway, so owners can see usage per module rather than discovering it on an invoice.

Lab 1

Find your way around in 15 minutes

Scenario

You are the new office manager at Acme Services, a 12-employee facilities company already live on Fintra. Before touching real data, you want to locate every major screen and confirm what your login can and cannot do.

Steps

  1. 1

    Sign in and note which modules appear in the module switcher.

    Expected: You see Finance, Budgeting, and HR; Payroll appears because Acme has the license active.

  2. 2

    Open Finance and visit Invoices, Bills, Banking, and the Reports center in turn, without editing anything.

    Expected: Each screen loads with Acme’s existing records - roughly 40 invoices and 25 bills for the year to date.

  3. 3

    Open the chart of accounts and find the account used for "Commission expense".

    Expected: It exists under operating expenses; note its account code for later labs.

  4. 4

    Switch to Budgeting and open the budget vs. actuals view for the current month.

    Expected: You see budget, actual, and variance columns for each account group.

  5. 5

    Switch to Payroll and try to open Settings.

    Expected: If you were invited as a clerk, Settings is blocked - only payroll admins can change settings. This is the RBAC working as designed.

  6. 6

    Copy the URL of any single invoice, sign out, sign back in, and paste the URL.

    Expected: The deep link lands you directly on that invoice after authentication.

Checkpoints - you got it right if…

  • You can name the five product areas and one thing that lives in each
  • You located the chart of accounts and wrote down one account code
  • You confirmed at least one action your role is not allowed to perform
  • A deep link to a specific record survived a sign-out/sign-in cycle

Frequently asked questions

Do I need separate accounts for accounting, payroll, and HR?

No. Fintra is one login for every module. Licensed add-ons like Payroll unlock in place once the license is activated - the same users, company, and chart of accounts carry over.

Can employees log in without seeing company financials?

Yes. Employees get self-service access only: their own paystubs, year-to-date totals, W-4 and bank details in the payroll portal, plus timesheets and onboarding tasks in HR. They never see company-level ledgers, budgets, or reports.

What happens if we only want accounting and nothing else?

Use Finance & Accounting on its own. Other modules stay dormant until you license or enable them; nothing in accounting depends on payroll or budgeting being active.

Is my accountant a separate seat, and what can they access?

Invite your accountant as a user with an accountant-level role. They typically get full Finance and Budgeting access and, if you choose, a payroll clerk or approver role - but payroll settings remain admin-only.

How do the AI features get billed and governed?

AI calls route through the platform AI gateway, which meters usage per module and per company. Owners can review consumption on the platform pages, and agent actions (like the auto-payroll agent) are always logged and gated by deterministic rules.
